Email Re-writing

BAD EMAIL:

Dear ___ ,
I was very disappointed about your negative/unexpected reaction after I informed you that the company will pressure itself and increase its employees’ salaries in two stages, although the market situation has not changed anything, nor the status of company, but because we promised people, I wanted to fulfill our promise to them and make them happy.

1) Can you please tell me what is the current utilization percentage for the employees?

2) Can you tell me how many hours they have been staying in the office and have real work production?

3) Can you tell me why on earth most of them coming after 9 or 9:30 and you have no issues with that?

I need a clear answers for all of these questions from you as you are the office manager and the responsible person no 1 for all of the above.

RE-WRITTEN EMAIL:

Dear ___ ,
As always, I appreciate your understanding about our company’s various (and regionally typical) struggles at this time, as well as your sincere concern for the financial and emotional welfare of our staff. Everyone has been deeply affected and hurt by the incidences (Covid) of the past year, and we are all trying to step out of this mire the best we can. And, as you know as someone with fair experience with people as an office manager and in human resources, this challenge is likely to be best met while we work together in a spirit of solidarity and positivity.
As I felt we had established this understanding, I admit I am disappointed in your highly unexpected negative reaction during our recent conversation, when I informed you of the fact that we will, as promised, increase employee salaries in two stages – at a 15 percent increase now, and another 15 percent increase in June (to cover the 30 percent salary cut we were compelled to enact in 2020).
Despite the fact that neither the market nor the status of our company has improved, because we promised the employees that we would re-balance their salaries, we are determined to fulfill that promise and make everyone as happy as possible.
I trust that you clearly understand the situation, and can convey this information in a positive light, to the employees.
As matters of a separate but imperative concern, kindly provide me with your clear response to the following matters:

  1. The current percent utilization of the employees.
  2. Actual hours of substantive work production (genuine valuable output) against hours spent in the office.
  3. The meaning behind what appears to be your willful blindness to the fact that employees arrive at 9 or 9:30.
I look forward to your prompt response.
    Regards,

Have said this, we all are aware the market has not yet recovered, and regardless of the persistent financial impacts, X company has decided to yet again bear the burden and reinstate 15% of the formerly
Reduced salaries, starting end of January 2021 and until the end of June 2021.
Subsequently, salaries will then return to their full capacity starting end of July 2021.

This decision marks X company’s commitment to its work force and recognition of employees as its most valuable asset.
We do hope 2021 brings along more work and opportunities, which shall grant both the company and yourselves, the opportunity to succeed and prosper.

RE-WRITTEN EMAIL:

Dear all,
We would like to first express our gratitude to you and pride in our united stand against an unimaginable force with tragic implications, which together we have nearly managed to overcome.
I would also like to thank you for your tremendous continuing contribution to maintaining our business while enduring the unprecedented financial challenges which have deeply impacted your personal lives!
While we would like to say we are ‘out of the woods,’ the fact is, we all are aware the market has not yet recovered, and regardless of our persistent effort to make financial gains, X Company is still navigating while climbing this challenging mountain. Nevertheless, we have decided to yet again bear the burden of our professional and personal responsibility by reinstating, in two stages, the full 30 percent of the formerly reduced salaries, starting with a 15 percent increase at the end of January, 2021, and another 15 percent at the end of June, 2021.
Thus, salaries would return to their former state beginning at end of July, 2021.
This decision marks the sincere commitment of X Company to its dedicated and loyal work force and recognition of its dear employees as its most valuable asset.
We sincerely hope that in 2021, we all strive to explore fresh ideas, pursue creative options, and seek out and accept exciting opportunities that ultimately will grant both the company and you all, the best possibility to succeed and prosper.
Regards,
